RapidStarter Setup
This guide walks you through setting up RapidStarter — from your first sign-in to inviting your team. Most workspaces are up and running in under 15 minutes, and the AI does the heavy lifting from there.
What you'll need
- A Microsoft 365 work or school account. RapidStarter works with Microsoft 365 only (Outlook/Exchange email and calendar) — it does not connect to Gmail or other providers.
- The person doing the initial setup should be the one who purchased RapidStarter — they become the workspace owner.
- For the smoothest team rollout, it helps if the owner is a Microsoft 365 administrator, so they can approve access for everyone at once. It's not required, but it saves your teammates an approval step.
Step 1 — Get RapidStarter
Choose a plan and complete checkout on the RapidStarter product page. When your purchase is confirmed, your workspace is created automatically and you become its owner. You'll be taken straight to sign-in to finish setup.
Step 2 — Sign in with Microsoft
Sign in with the same Microsoft 365 account you purchased with. Microsoft will ask you to approve RapidStarter's permissions. You may see two approval screens:
- First screen (organization): If you're your organization's Microsoft administrator, tick "Consent on behalf of your organization." This lets your teammates join later without each needing a separate IT approval. If you're not an admin, that's fine — your admin can approve it once, or each teammate approves for themselves.
- Second screen (you): Click Accept. This one is just for your own account.
What RapidStarter can access — and what it can't
RapidStarter reads your email and calendar so it can build your CRM. As the owner, it can also send teammate invitations from your mailbox and look up teammate names in your directory. RapidStarter operates on a review-first model: it observes, suggests, and waits for you to approve — it never sends email or makes changes on your behalf without your action.
Step 3 — Connect your mailbox and choose your first scan
After sign-in, connect your Microsoft 365 mailbox. You'll then choose how far back RapidStarter should scan for your first build. The default is 10 days, which is a fast, low-cost way to see results quickly — you can pick a longer window if you want more history captured up front. Confirm your choice to start the initial scan.
Step 4 — Let the initial scan build your CRM
RapidStarter reads your recent email and calendar and automatically builds your CRM — contacts, companies, deals, and follow-ups — with no manual data entry. This usually takes a few minutes. You'll see "Initial scan underway" on the Today page while it works; refresh the page to see suggestions appear as they land.
Step 5 — Review your suggestions
Open Today to see what RapidStarter found. For each item:
- Add to CRM saves the contact and company and logs the follow-up.
- Dismiss discards it.
Nothing is added to your CRM until you approve it. From here on, RapidStarter keeps watching your activity on your schedule and surfaces new contacts, follow-ups, and next steps for you to review.
Step 6 — Add RapidStarter to Microsoft Teams
Install the RapidStarter app in Microsoft Teams to get your CRM tabs (Today, Pipeline, People, Companies) and the assistant bot right inside Teams. Add it from the Teams Apps store. If your organization restricts third-party apps, your Teams administrator may need to allow RapidStarter first.
Step 7 — Invite your team (owners)
As the owner, go to My Teammates to invite colleagues by email. Each plan includes a set number of seats — Starter (10), Growth (15), Scale (20) — and you can upgrade for more. Each teammate you invite:
- Receives an invitation and signs in with their own Microsoft 365 account.
- Connects their own mailbox. If you granted organization-wide consent in Step 2, they won't see a separate approval prompt.
- Chooses their own first-scan window.
Their activity then feeds the same shared workspace CRM.
Step 8 — Set your preferences
Open My Preferences to control when RapidStarter processes your activity (runs happen within your working hours, in your time zone, skipping quiet days) and how it notifies you. More frequent runs mean faster updates and use more of your plan's monthly allowance.
Troubleshooting
- "Initial scan underway" doesn't go away. The first scan can take a few minutes; refresh the Today page. It clears automatically once your initial build completes.
- "You don't have access to this workspace yet." You haven't been added to a workspace. Ask your workspace owner to invite your email address, then sign in again.
- A teammate is blocked at sign-in or asked to approve permissions. Your Microsoft administrator may need to approve RapidStarter for your organization once. After that, teammates connect without prompts.
- "This workspace is full." You've reached your plan's seat limit. The owner can free a seat or move to a higher plan (Growth or Scale), or to RapidStart CRM beyond 20 users.
- Need to reconnect your mailbox. Go to My Preferences and reconnect your Microsoft 365 account.
