BookIt Scheduler Setup and Configuration
Configure the connections, automations, consent, and security roles used by RapidStart BookIt.
What BookIt Does
RapidStart BookIt creates meeting polls from Dataverse. Invitees vote through a magic link without signing in, and BookIt can create the selected Microsoft Teams meeting after the poll is resolved. It supports time zones, voting deadlines, reminders, and recurring meeting patterns.
Before You Begin
- A Microsoft Dataverse environment.
- Microsoft 365 accounts with access to Outlook and Microsoft Teams.
- A licensed user or service account that can own the BookIt connections and flows.
- A tenant administrator who can grant the required application consent.
1. Install BookIt
Open the RapidStart BookIt listing in Microsoft Marketplace, select Get it now, and install it in the target Dataverse environment.
2. Open the Setup Wizard
Open RapidStart Settings, select Apps & Add-ons, and choose Configure for BookIt. The wizard checks the required configuration as you complete four stages.
Configure Connections
Assign the connection references for Microsoft Dataverse, Office 365 Outlook, and Microsoft Teams to the licensed user or service account that will run BookIt. Return to the wizard and verify that all three connections are ready.
Turn On Flows
Enable the six BookIt cloud flows shown by the wizard:
- BookIt - Send Invites
- BookIt - Send Reminders
- BookIt - Teams Meeting Invites
- BookIt - Close at Deadline
- BookIt - Close if all Voted
- BookIt - Determine Winner
Grant Admin Consent
Use the wizard's consent action so the hosted BookIt voting experience can access the BookIt data it requires. Complete the administrator consent prompt, then use the wizard to assign the RapidStart BookIt security role to the BookIt application user and the Power Automate service account.
Complete User Access
Assign the RapidStart BookIt security role to each human user who should create or manage meeting polls.
3. Verify the Setup
- Open the BookIt app as a user with the RapidStart BookIt role.
- Create a test poll with proposed times and at least one invitee.
- Confirm that the invitation is sent and that the magic-link voting page opens without requiring the invitee to sign in.
- Complete the test poll and confirm that the selected meeting is created as expected.
Reset and Remove
The setup wizard's Reset & Remove action removes the RapidStart BookIt role from the BookIt application user and flow service account and disables the BookIt application user. It does not remove human-user role assignments, flows, BookIt data, or solution components.
Setup complete
BookIt is ready when its three connections, six flows, tenant consent, application access, and human-user roles are configured.
